Terms and Conditions of Hire.

Welcome to Delaybox Rentals, operated by Delaybox Limited. By placing a rental order with us, you agree to the following terms and conditions, ensuring a clear and fair rental experience.

  1. General Terms

    1. These terms apply to all rentals made with Delaybox Rentals.

    2. By renting from us, you acknowledge that you have read, understood, and accepted these terms.

  2. Rental Period & Scheduling

    1. The rental period begins on the agreed rental days, but we will deliver the equipment by 12pm on the day before the rental starts to allow you to check everything and notify us of any issues. Collection will be made before 12pm on the day after the rental period ends. For example, a two-day rental for Wednesday and Thursday would involve delivery on Tuesday and collection on Friday, but you would be charged only for the two rental days.

    2. Equipment must be returned promptly to avoid late fees.

    3. Occasionally, we may arrange early delivery or late collection at our convenience, without additional charges, after notifying you in advance.

    4. If you wish to extend your rental period, you must notify us at least 24 hours in advance. Extensions are subject to equipment availability and additional charges at our standard daily rental rate.

  3. Payment, Deposits & Late Payments

    1. Rental fees and a refundable deposit must be paid in full before equipment release.

    2. Deposits are refunded after confirming the equipment's good condition upon return.

    3. We may deduct from deposits for damage, late returns, or missing items.

    4. Accepted payment methods include credit/debit cards, PayPal, and bank transfers.

    5. Late payments incur interest at a rate of 5% per annum above the Bank of England's base rate, calculated daily until payment is made.

  4. Identification & Right to Refuse Service

    1. For security, valid identification (passport, driving licence, or utility bill) must be provided before releasing equipment.

    2. We reserve the right to refuse service if we suspect fraudulent, incomplete, or misleading information.

  5. Equipment Use & Restrictions

    1. Equipment is provided fully functional and should be used safely per manufacturer guidelines and laws.

    2. Customers must not repair, modify, or dismantle equipment without written permission.

    3. You must have relevant qualifications or training for professional-grade equipment (e.g., drones, advanced cameras).

    4. Equipment must not be used in hazardous environments without explicit prior approval.

    5. You bear responsibility for damages resulting from misuse or negligence.

    6. Equipment remains Delaybox Rentals' property at all times.

  6. Insurance & Liability

    1. You must secure suitable insurance covering theft, loss, or damage for the rental duration.

    2. Proof of insurance must be provided prior to equipment release.

    3. While we can offer guidance on insurance, obtaining adequate cover remains your responsibility.

    4. We exclude liability for indirect or consequential losses (including data loss, business interruption).

    5. Our maximum liability shall not exceed the total rental fees paid.

  7. Loss, Theft & Damage

    1. Customers are responsible for full replacement costs if equipment is lost, stolen, or irreparably damaged.

    2. Damage beyond reasonable wear is charged at cost.

    3. Theft must be reported immediately to us, accompanied by a police report and relevant insurance documentation within 48 hours.

    4. In the event of any loss, theft, or damage, please contact us as soon as possible so we can work with you to assess the situation and assist in finding a resolution.

  8. Cancellations & Refunds

    1. Full refunds apply to cancellations made over 48 hours before rental commencement.

    2. Cancellations within 48 hours incur a fee equal to one day's rental.

    3. No refunds for early returns.

    4. Special promotions or peak rental periods may have separate cancellation terms, clearly communicated at booking.

  9. Late Returns

    1. Late equipment returns incur fees calculated at our standard daily rate.

    2. Equipment not returned within 7 days of the due date, without customer contact, is treated as lost, incurring full replacement charges.

  10. Termination of Hire

    1. We reserve the right to terminate hires immediately if payment conditions are breached or if equipment is at risk.

  11. Our Responsibilities

    1. Equipment is provided in good working order.

    2. We offer support and assistance throughout your hire period.

    3. Please inform us promptly of any issues; we commit to resolving them efficiently.

  12. Data Protection & Privacy

    1. We respect your privacy, handling all personal data (names, contact details, IDs, payment info) in line with UK-GDPR.

    2. Your information is collected solely for rental management, customer communication, and legal compliance. We share data with third-party processors (e.g., payment providers, couriers, insurers) only when necessary.

  13. Force Majeure

    1. Neither party shall be held liable for delays or failures in fulfilling these terms due to circumstances beyond their reasonable control, such as natural disasters, pandemics, strikes, governmental actions, or transport disruptions.

    2. In the event of such circumstances, both parties agree to notify the other as soon as reasonably possible and work together in good faith to find a fair and practical solution, including pausing the hire period without penalty if required.

  14. Governing Law

    1. These terms are governed by English law, with disputes subject to the exclusive jurisdiction of English courts.

    2. These terms do not affect your statutory consumer rights under the Consumer Rights Act 2015.

  15. Intellectual Property

    1. All manuals, software, and instructional materials provided with rental equipment remain our intellectual property and must not be copied or distributed without our explicit written consent.

  16. Updates to These Terms

    1. These Terms may be updated periodically. The current version is always available on our website. Continued use of our services signifies acceptance of any changes.
